Decoding the CHS Statutory Audit: Form 1, Form 2 and What Committees Must Know

DEON ERP Team · September 18, 2026

Audit season surprises committees who are not ready. Understanding the statutory forms and the records behind them makes the process routine instead of stressful.

For a co-operative housing society, the annual statutory audit is not a formality. It is the point at which the committee accounts for every rupee collected and spent on behalf of members. Committees that prepare throughout the year sail through it; those that scramble in the final weeks rarely enjoy the experience.

Why the records matter more than the forms

The statutory forms are the visible output. What an auditor actually examines is the underlying books: cash and bank ledgers, receipts, vouchers, the fixed asset register, and the reconciliation between them. Clean underlying records make the forms a formality.

The records to keep current

  • Double-entry cash and bank books, updated in real time.
  • Bank reconciliation statements produced monthly, not annually.
  • Numbered receipts and supporting vouchers for every expense.
  • A fixed asset register with depreciation schedules.
  • Member-wise ledgers showing dues and payments.

Prepare in quarters, not in a panic

The most effective habit is a quarterly review. If ledgers are reconciled every three months, there is no year-end mountain to climb. Committee members can then focus on the audit conversation rather than the data entry.

An audit should confirm the committee\u2019s diligence, not expose its gaps. The difference is almost entirely about preparation rhythm.

How software changes the equation

When society accounting lives in a system rather than in scattered files, trial balances, balance sheets and audit packs can be generated on demand. The auditor gets clean, consistent statements, and the committee gets its evenings back.

If your society is approaching audit season with disconnected spreadsheets, the highest-value change you can make is to centralise the books now, before the auditor asks.
