DEON ERP POLICIES

Privacy Policy

How we handle information when you visit our website or contact DeonERP.

Last updated:

This policy explains how DeonERP handles information in connection with its public website, inquiries and product demos. Data processed within a society’s subscribed ERP service is also subject to the society’s service agreement and instructions.

1. Information you provide

When you contact us, you may provide your name, email address, phone number, society name and the contents of your inquiry. Please share only information needed for your request, and avoid sending passwords, payment credentials or unnecessary resident records.

2. Website and inquiry information

Our contact form prepares a message in your email application. Completing the form does not send it automatically; you review and send the email yourself. We receive the details included in the email when you send it.

Website hosting and infrastructure providers may process technical request information, such as IP addresses, browser details, requested pages and access times, as part of delivering and securing the website.

3. How information is used

Information received through inquiries is used to respond to questions, arrange demos, discuss plans, provide support and maintain relevant business correspondence. Service-related records may also be needed for billing, security, dispute resolution or legal obligations.

4. External services and browser storage

The website loads fonts from Google Fonts and embeds a Google Maps map on the contact page. Your browser may contact these providers and share technical information, including your IP address. Their processing is governed by their own privacy policies.

The current public website does not implement advertising tracking or an analytics tracker in its page code. Services you open through external links, and any separate ERP session, may use their own cookies or storage. You can manage cookies through your browser settings.

5. Service providers and disclosures

Information may be handled by providers needed to deliver hosting, email, communications or the subscribed service. Information may also be disclosed where required by applicable law or necessary to address fraud, security incidents or legal claims.

6. Society and resident data

A society decides which resident and operational records it supplies to the ERP service and who is authorised to access those records. For access to, correction of, or removal of a society-managed record, contact the society’s authorised administrator first. Our team can assist with requests relating to processing performed by DeonERP.

7. Retention and security

Retention depends on the purpose of the information, the relevant service agreement and applicable recordkeeping obligations. Contact us if you want to ask about retention or deletion of information you supplied.

No internet transmission or storage system can guarantee absolute security. Keep account credentials private and notify us if you suspect unauthorised access. Specific service security and backup arrangements should be confirmed in your agreement.

8. Your choices and requests

You may contact us to request access, correction or deletion of information you have provided, or to withdraw permission for optional communications. Requests are handled subject to identity verification, applicable law and any information that must be retained.

If you have a privacy concern, email us with enough detail to identify your request. Do not include sensitive identity documents unless we specifically request them through an appropriate channel.

9. Changes to this policy

We may update this page as the website or our information practices change. The date above identifies the latest update.
